Deliverables
task
Create a user-friendly modern tool for school students to track their academic and extracurricular activities.
About the project
About the client
Letovo School is a modern boarding school that brings together talented and motivated students. Its mission is to give every child an equal chance to grow, learn, and find their own path. The school is consistently recognized in global rankings as one of the best schools in the world.
What truly sets Letovo apart is its deeply personalized approach: every student follows an individual learning plan and selects disciplines from an exceptionally wide range of subjects and programs, combined with a rich campus life full of academic and extracurricular opportunities.
ChALLENGE
A unique educational system requires a unique solution — one that addresses the non-standard needs of students, including flexible schedule planning, quick navigation, performance tracking, and assignment uploads. At INSAIM, we continuously rise to this challenge, striving to create solutions that meet the needs of students and staff effectively and intuitively.

OUR FIRST CHALLENGE
Happy Hero is a mental health startup focused on personal well-being, currently in the process of launching their main product. They are developing an app aimed at helping users measure their happiness and discover practical ways to enhance it. At the pre-seed stage, their objective was to design and build an MVP, following the validation of their initial hypotheses.

SCHOOL JOURNAL
One of our recent tasks was to create a school journal that is both simple and comprehensive, giving students everything they need without cluttering the interface. We needed to identify the core functionality, keep Letovo-specific requirements in mind, gather direct feedback from students, and integrate the final result seamlessly into the digital ecosystem to create a product that supports students on a day-to-day basis.
Step 1 -- Deep research
Existing school journal solutions tackled only some of the students’ needs, but none brought together all the essential features a typical journal should have, allowing students to see everything they need at a glance.
They also often fell short in terms of clear visualization and a friendly, enjoyable interface, which is a significant drawback for products of this type and complexity.

STEP 2 - wireframing
With the research results and identified gaps in mind, we focused on the core functions, making key information easy to spot and intuitive to navigate.

01 / Quickly Identifiable Subject Types
We visually distinguished academic and extracurricular subjects, marking academic subjects with minimalistic icons as quick visual cues.
02 / Assessment Review Tab
Short regular assessments were given their own dedicated tab, allowing students to quickly find and review them. We also adjusted comment and topic lengths based on student feedback, implementing pop-up displays to make grade explanations and discussions more readable and meaningful.
03 / On-the-Go Updates
Quick notifications about classroom changes and new grades help students stay on top of updates without constantly checking the system.
Step 3 - Gathering and implementing feedback
At this stage, both our team and the school staff were happy with the result, and the mockups were sent to students for review to ensure the journal would be not only smart and intuitive, but genuinely student‑friendly.

School journal design
Finalised version
All core features identified during research were implemented but we didn’t stop at the basics and added extra features and improvements trough student testing and feedback. The result is a well-rounded, carefully tested feature that is part of the digital ecosystem, ready to scale and evolve alongside Letovo School.

Results of the first challenge
01 / Core features implemented
All essential journal features were implemented, covering weekly schedule, homework and lesson topics, grades and teacher comments, attendance ...
02 / Additional UX features and improvements
Additional UX features were added to address Letovo’s unique needs, such as tracking regular assignments (formatives), differentiating academic and extracurricular subjects, and other small but necessary improvements like notifications and a homework checklist.
03 / Clean and intuitive design
The interface is neat, instantly readable, and seamlessly integrated into the school’s design system.

Our second challenge
SCHOOL calendar
Our next task was to create a calendar that would enable students to visualize their extracurricular life, track daily tasks, and book school events within seconds.
ChALLENGE
Previously, students had been using paper notebooks and external apps to keep track of their life outside academic hours. The biggest question was: How can we make students fall in love with the new tool and seamlessly integrate it into their life? Reaching that goal would also allow our client to access measurable data about students’ activity and create even more useful features for students in the future.
Our approach
Our previous experience working on a school journal proved that getting continuous feedback from the end users is the best way to proceed with this new task as well. We also took into consideration existing UX patterns from popular calendars such as Google Calendar, Notion, and Apple Calendar to ensure the feature feels familiar and intuitive for students.
Google Calendar
Google Calendar is built for speed, reliability, and collaboration. It syncs instantly across devices, pulls events from Gmail automatically, and makes sharing schedules effortless. For most people, it becomes the single source of truth for time that’s why we chose it as a benchmark for our Letovo Celendar.
Invitation status is visible at a glance
Accepting invitations requires only one clear action
Every action produces immediate visual feedback

Notion Calendar
Notion Calendar is built around modern work and study habits. It shows your availability clearly, blocks focus time automatically which makes long planning sessions feel controlled instead of overwhelming.
Clean, minimal layout that keeps attention on time blocks
Simple drag-and-drop behavior with visible feedback
Smooth transitions between day, week, and month views
IOS Calendar
Apple Calendar is built around familiarity. The design favours low cognitive load, so users always know where to look and what to tap. Its interface avoids experimental layouts in favour of predictable structure that supports fast, habitual use.
Familiar interaction patterns that require no relearning
Offline access with local sync
Simple event editor with no visual clutter

School calendar design
Finalised version
After three rounds of feedback and a deep visual analysis, we arrived at the final version of the calendar. Students described it as fresh, easy to use, and genuinely useful. Beyond that, they noted that the interface feels predictable and let them focus on planning instead of figuring out how the tool works.
Implemented three types of events: lessons, invitations to school events, tasks
Added easy task tracking system
Added a workload calculator
Created fresh UI liked by students at first sight

Results of the second challenge
01 / Predictability + Evolution
We reused UX patterns that students already knew from familiar apps, which made the tool immediately predictable and easy to learn. At the same time, we added freshness and personalization through a workload calculator and a clear, simple booking flow for school activities.
02 / Happy Client
The client shared that students consistently give positive feedback about the new calendar. In addition, the tool now generates measurable usage data that helps the client make informed decisions about future features and priorities.
03 / Insights for our Future Projects
While working on this project, we built a knowledge base around designing LMS systems. We now apply these insights and design principles across our education projects, which has noticeably improved both delivery speed and UX design level.
